A welcome booklet in my rental
To make your guests’ stay more enjoyable and encourage them to return, it’s important to create a welcome booklet that includes all the information they need to make their vacation go smoothly. In addition to details about your rental, this guide can include information on points of interest near your vacation rental.
Here are our tips to help you create an attractive and comprehensive guidebook:
Format
- In the form of a binder, with information written on sheets placed in plastic sleeves. This will make it easy to update.
- Create a booklet that reflects your personality and complements your vacation rental.
Content
Welcome Page
This is important because it’s the first document tenants will see when they arrive at the apartment; ideally, you can include a personalized welcome note.
Rental Rules
These should be listed in detail in different sections of your booklet:
- What needs to be done upon arrival and departure (turning the electricity and water on/off, inventory, etc.)
- Residence rules (keeping the peace, etc.)
- Information specific to your unit (where to store ski gear, no smoking indoors, instructions for accessing the lounge area if available, Wi-Fi password, etc.)
- How to use the appliances and equipment provided in your unit (providing instruction manuals or a summary document outlining the equipment’s functions)
- Waste sorting guidelines and eco-friendly practices
Resort Information
This involves providing your guests with information regarding:
- Shops, restaurants, activities, events, and ski area information all available on the PARADISKI YUGE app
- Useful locations such as: the Tourist Office, ski lift ticket offices, ski schools, daycare centers…
- Feel free to share your own recommendations, advice, and tips!
Contacts and emergency numbers
This section is very important: in case of an emergency, the guest must know who to contact; ideally, provide two contacts:
- Your number or that of a trusted person who is available and, ideally, on-site in case of an emergency
- Another contact, such as the real estate agency with which you have a contract or the property management office.
It’s also helpful to list emergency numbers (fire department, police, gendarmerie, hospital, poison control center, ski patrol, mountain rescue, etc.).
Satisfaction Survey
Implement a satisfaction survey
Once the rental period is over, it’s important to maintain a relationship with your guests. Their feedback on their experience during their stay can help you improve your property for the future.
If the guest is satisfied, they may also become a repeat customer and rent your apartment year after year.
In this case, a true virtuous cycle begins—for them as well as for you. For their part, the guest is familiar with the area, confident in the quality of the accommodation they’ll find, and settles into a routine at the resort. For your part, you’ll feel more confident with a repeat guest; this will require less marketing effort on your part and help secure your business as a furnished vacation rental provider.
There are two ways to distribute the questionnaire:
- In paper form, left directly in the apartment (at the end of the welcome booklet, for example) and/or emailed at the end of the stay.
- By sending an email right after the guests return home: to maintain a friendly relationship with the guest by asking if they arrived home safely, if they enjoyed their vacation, and if they’d be willing to provide feedback to help improve the property in the future.
